Annotation Specialist


  • Responsible for the review and annotation of work of Medical Strategists/Medical Writers/Copywriters to ensure accuracy and medical/scientific integrity
  • Support Medical Strategists/Medical Writers/Copywriters with the identification of data supporting promotional messages and claims. Identify new reference sources as needed
  • Address issues identified by Medical Strategists/Medical Writers/Copywriters and Editors, such as missing sources, incorrect annotations, or incomplete support for claims
  • Develop a deep familiarity with and maintain source documentation of appropriate data and language supporting client’s promotional strategy and messaging
  • Annotate clinical content for print, digital, and interactive medical education and promotional programs, across all stages of the project life cycle
  • Upload new references into the appropriate server-based reference library
  • Act as a resident expert on client/brand-specific annotation processes and provide training support to support other teams, as needed
  • Develop expertise of client’s/brand’s unique Medical/Legal/Regulatory (MLR) submission guidelines, annotation requirements, and processes
  • Aid in the preparation of documents for client MLR review in a timely and accurate manner
  • Attend meetings related to the submissions/review process as necessary
  • Review comments from MLR reviews to understand necessary revisions
  • Collaborate with the relevant Submission Coordinator as needed
  • Clearly and professionally communicate with the internal teams and Submissions Coordinators regarding new and updated references
  • Keep an updated record of all best practices and training materials for assigned brands for training, coverage, and support purposes


  • Experience with the process of annotating scientific documents
  • Comfort with high-science materials and scientific resources
  • Strong knowledge of how to fact-find new sources in support of scientific/medical claims
  • Ability to handle multiple projects, changing priorities, and consistently meet deadlines, working collaboratively with content owner, Editorial, project and account management teams
  • Ability to work efficiently and plan ahead, anticipating issues before they arise
  • Ability to work efficiently under tight deadlines


  • Strong organizational skills and ability to manage multiple projects simultaneously
  • Strong written and verbal communication skills
  • Ability to develop good relationships and rapport within the department and work as a team player to ensure tactics are submitted accurately and on time
  • Ability to recognize problems and work with the team and/or a supervisor to find solutions proactively
  • Arrange for backup coverage on assigned workload as needed
  • Knowledge of MS Office Suite and ability to learn new systems (eg, routing software, content management system)
  • Complete time sheets, expense reports, and other required agency assignments in a timely manner


Education: 4-year college degree; journalism, marketing, communications, or healthcare emphasis preferred

Experience: Healthcare agency experience highly preferred
